Job Overview
The Business & Operations Manager assists with general administration and operations for the entire department. In addition, this person acts as a liaison between Auxiliary Business Services and Real Estate, the
Georgetown community, and business partners on and off Georgetown’s campuses.
They also serve as the GOCard Office Coordinator, overseeing the University’s one card program, and working with the GOCard Team and the dining provider to support students and the GU community with transactions related to their GOCard accounts.
Administration
Develops a calendar of important contract dates and deadlines and creates alerts in the internal contract management system and team calendars
Schedules departmental meetings and writes appropriate correspondence
Assists with presentations and reports
Organizes department files, Google docs, Google calendar and Box folders
Manages the internal contract management system and inputs all contracts for approval and signature
Regularly works with Contract Administrators to review contracts and ensure that terms and conditions are being met by GU and by the vendors
Maintains accurate asset inventory for all areas
Operations and Customer Experience
Visits and walks through operations as needed to interact with customers and assess the overall success of the operation
Supports mail services and managed print operations
Supports real estate operations, including requesting, collecting, and returning keys for team as needed; and drafting notices as various issues arise
Supports the department as the liaison for meetings and issues related to campus-wide activities
GOCard Coordination
Manages student meal plans to include adjustments as necessary on students’ accounts via Star Rez, Transact and Banner systems
Oversees the GOCard email account
Processes GOCard deposit/return requests, as necessary
Collects, schedules and prepares regular deposits received from the GOCard VTS machines.
Works with UIS GOCard office and StarRez team to reconcile meal plans each semester
Works with Conference groups, Athletics, and other departments to administer summer meal plans
Serves as the liaison between GU and the Aramark Meal Plan Coordinator
Marketing and Communications
Executes the marketing strategy with each vendor on campus and ensures that messaging is cohesive and within Communications guidelines and visual identity standards
Manages and coordinates special events with corporate sponsors and the GU community
Oversees the Auxiliary Business Services and Real Estate websites and social media platforms
Coordinates articles and media coverage for trade publications, alumni magazine, DC papers and local publications with vendors and the Communications office
Assumes key role in NSO, Move-In, Graduation, Weeks of Welcome and other events
Manages distribution of in-kind donations to student groups, as well as tabling and food truck requests
Work Interactions
The Business & Operations Manager has daily interactions with the contracts and finance departments, accounts payable, revenue and receivables, procurement, Georgetown Event Management Services (GEMS), Athletics and other departments.
As well, they interact with students, faculty, staff, and vendors; as well with prospective students, parents, alumni, and general campus visitors.

Requirements and Qualifications
Bachelor's degree in business, hospitality management or related field
At least 3 years of administrative, business, real estate or hospitality experience
Excellent organizational and leadership skills
Ability to communicate creatively and effectively, both orally and in writing
Ability to gather, analyze and interpret external and internal data and write reports
Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community
Ability to develop and maintain recordkeeping systems and procedures
Knowledge of websites, marketing and social media strategies
Ability to work as part of a team, as well as to prioritize and exercise flexibility as priorities shift
Ability to make smart decisions quickly, to work under stress in a variety of situations, and to remain calm and professional at all times
Proficiency with Microsoft Office, Google Suite and social media platforms
Availability and willingness to work evening and/or weekend hours during peak business periods
Preferred Qualifications
Experience working for an educational institution
Experience working with Workday, Transact and StarRez systems
