We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. This role involves a variety of tasks, including managing correspondence, scheduling appointments, and assisting with projects as needed. The successful candidate will have excellent communication and organizational skills, as well as the ability to prioritize tasks and work independently.

Responsibilities:

  • Manage incoming and outgoing correspondence, including emails, letters, and phone calls

  • Schedule appointments and maintain calendars for executives and team members

  • Assist with project coordination, including preparing documents, reports, and presentations

  • Maintain and organize paper and electronic files, databases, and records

  • Order and maintain office supplies, and coordinate office equipment maintenance

  • Serve as the first point of contact for visitors and callers, providing information and directing inquiries

  • Assist with basic financial tasks such as processing invoices and managing expense reports

  • Coordinate logistics for meetings, including room setup, catering, and audiovisual equipment

  • Perform other administrative tasks and duties as assigned

salary: $17 - $22 per hour

work hours: 8 AM - 4 PM

Responsibilities

Managing Correspondence: Handling incoming and outgoing emails, letters, and phone calls. Often includes drafting and editing correspondence on behalf of executives.

Scheduling: Arranging meetings, appointments, and travel itineraries. This involves coordinating schedules, booking venues, and ensuring all necessary arrangements are made.

Record Keeping: Maintaining and organizing paper and electronic files, databases, and records. This may include data entry, filing, and ensuring information is easily accessible.

Office Management: Overseeing day-to-day operations of the office, including ordering and maintaining office supplies, managing office equipment, and coordinating maintenance services.

Administrative Support: Providing administrative support to executives and other team members as needed. This may involve preparing reports, presentations, and meeting materials.

Customer Service: Serving as the first point of contact for visitors and callers, providing information, directing inquiries, and ensuring a positive experience for all stakeholders.

Project Assistance: Assisting with various projects by conducting research, gathering data, and preparing documents or presentations as required.

Meeting Support: Coordinating logistics for meetings, such as room setup, catering, and audiovisual equipment. Also, recording minutes and following up on action items.
