Entity: Clinical Practices of the University of Pennsylvania (CPUP)

Department: Trauma-Surg

Location: Penn Presbyterian Medical Center

Hours : Full-Time

Summary:

  • Plan, direct and coordinate supportive services of the Department. Supervise administrative department operations and employees and ensures smooth operation across department. Direct supervision of Department administrative support staff university and Health systems for department physicians. Serves as a liaison and point person for all faculty onboarding. This position is responsible for all employee relations and HR related issues including position creation, posting, hiring and onboarding. The incumbent in this role is a primary point of contact for facilities related issues, document management system. Point person for compliance related issues, including Visas for visiting scholars, observers, employees, faculty. This position reports to department/division leadership.

Responsibilities:

  • Direct supervision of all Department administrative support staff, clerical staff and students.

  • Management and Oversight on functions of faculty recruitment onboarding, that require oversight on functions of individuals who are not direct reports.

  • Management of recruitment process for all UPHS and University positions within the Department.

  • Work with hiring managers to develop appropriate job descriptions for all new and replacement positions within the Department.

  • Responsible for managing the process of all Visa applications for incoming residents, faculty, researchers and visiting scholars.

  • Management of all compliance related tasks to ensure compliance with all HR policies and procedures, meet all State, Federal, and JCAHO standards.

  • Management of all onboarding activities, competing all new employee paperwork for both UPHS and University positions, including of all clinical providers.

  • Maintain Department personnel database with demographics related information, emergency contacts, alumni, partner contacts, etc.

  • Management of mandatory training, performance appraisals, effort reporting, conflict of interest, compliance for TB testing, flu vaccinations, etc.

  • Responsible for monthly Department newsletter; participates in Entity and Department wide initiatives for Patient/Employee Safety.

  • Directing and evaluation administrative department operations and staff members to ensure business operated in a smooth, efficient manner.

  • Training, hiring, coaching and leading support staff members.

  • Creating, reviewing, and reporting department data and using this information to solve potential problems or strengthen performance.

Education or Equivalent Experience:

  • Bachelor's Degree in Business, Human Resources or Healthcare Administration (Required)

  • 5 years' Management or Supervisory experience in an academic or clinical setting (Required)

  • Master's Degree and 3 years' Management or Supervisory experience in an academic or clinical setting (Preferred)
