Job Description:

Responsible for the overall management and administrationof the core General Surgery Residency Program, Education and Assessment Responsibilities for the Department of Surgery. Leads the preparation for ACGME requirements for the residency program and assists the Program Director and Associate Program Director in their efforts to meet these goals. Responsible for maintaining accurate and thorough academic records on all trainees, past and present.

In collaboration with the Program Director and APDs, this position is responsible for monitoring and documenting resident progress toward meeting their program-specific milestones using New Innovations and other methods of evaluation and assessments such as SEPA and SIMPL.

In collaboration with the Program Director and APDs, assist with the development of educational materials and classroom/laboratory needs to ensure effective educational sessions. This includes creating the curriculum schedule and maintaining inventory of skill lab supplies.

In collaboration with the Program Directors, construct and monitor effective methods of assessment of resident proficiency. Construct and maintain methods for improving the educational value of departmental training programs. Improve the use of information technology for educational purposes within the department, including educational webpages for training programs.

Update educational goals and learning objectives and track educational activities of departmental training programs. Coordinates resident clinical rotation schedule and educational conferences, and tracks attendance. Assists residents with their other training timelines and educational needs, when appropriate.

Prepares all documentation for the graduating residents including all documentation for board certification exams, graduation diplomas, and summative evaluations at the completion of training.

Coordinates and plans all ACGME required meetings including the Clinical Competency Committee Meetings, Program Evaluation Committee meetings, and application review committee meetings

Serves as liaison for the Residency Wellness Committee. Assists with the purchasing and the planning of wellness events for the residents. Develops and implements educational and wellness initiatives for residents. Provides recommendations for enhancements.

Creates and submits all required documentation on an annual, semi-annual or monthly basis to the Graduate Medical Education office for the core General Surgery program.

Reviews and monitors all duty hour submissions and documentation for the 50+ residents in the General Surgery Program.

Sits on the Executive Education Committee as a General Surgery Program Coordinator representative. This committee meets to discuss behavioral, educational, and clinical issues that arise in medical students, residents/fellows, and faculty that would affect the learning environment.

Technical Management of Programs, Including Recruitment

Organizes and prepares accurate documentation of program compliance with ACGME defined program requirements. Responsible for preparing ACGME annual updates and provides progress reports when necessary to PD and APDs.

Preparation and execution of ACGME self-study and site visits. Working closely with the Assistant Director of Education and the Graduate Medical Education office this position is responsible for gathering all required documents requested by the ACGME and is in attendance of site visits as they occur.

Must be knowledgeable of rules and regulations on housestaff leave and maintain accurate records of resident leave and hours on duty.

Perform all residency match responsibilities and correspond with all new incoming residents and fellows in ERAS and NRMP. Develops, organizes and coordinates the interview days during recruitment season. Reviews applicants and is the direct line of communication between applicants and the institution. Maintains organized files for each applicant that interviews with the program (100+).

Is responsible for the onboarding and hiring of all incoming residents each year. This includes collecting all documentation for hire, assisting with getting medical licenses and assisting COM HR with the hire packets.

Plans a robust two-week orientation schedule for interns (Gen Surg, Urology, OMFS, and Integrated Plastics and TCV) prior to starting. This includes creating the schedule with faculty involvement, setting up individual labs or lectures, and purchasing of materials or food as needed.

Coordinates and attends weekly didactic sessions. Assists the PD and APD in developing the curriculum schedule and sends out reminders for each event.

Arranges the scheduling and day of preparation of required onsite and offsite testing such as FES and FLS. This includes maintain accurate records of pass/fail rates and purchasing testing vouches and books prior to the examinations.

Arranges the scheduling of Surgical courses both onsite and offsite. These include ASSET, ATOM and cadaver labs.

Is responsible for the setup and maintenance of three technology apps we currently utilize; SEPA, SIMPL and SCORE. Insures all residents and faculty have access and maintain data reports from each site.

Administrative

Customer service: respond to all inquiries via email or phone regarding the surgery residency programs.

Assists with the processing of appointments for new residents/fellows, as needed.

Is responsible for registering the housestaff and administering the ABSITE exam for the General Surgery Program.

Assist with the supervision of the program assistant, as well as the student assistant and/or Health Education Intern for the Department of Surgery.

Prepare travel and reimbursements for residency-related travel and surgery education expenses.

Assists in the training of incoming members of the education team as they learn the financial systems such as UFGO.

Assist with the continuing medical education activities of the Department, including Surgery Morbidity and Mortality Conference and Surgery Grand Rounds.

Assists in the monitoring and reimbursements for moonlighting shifts done by residents and fellows.

Assists with the VA reporting cycle quarterly and submits all required documents to COM HR and the VA personnel.

Oversees and onboards visiting residents who are interested in doing an elective at the UF in a general surgery rotation.

Other Duties as Assigned

Responsible for planning annual events for the Department, including but not limited to, the faculty and resident softball game, chief resident dinner, and the educational retreat.

Expected Salary:

$45,600 - $60,000; Commensurate with education and experience.

Minimum Requirements:

Bachelor's degree and three years of experience coordinating educational programs, accredited residency and/or fellowship programs; or an equivalent combination of education and relevant experience.

Preferred Qualifications:

Master’s degree and prior experience in the field, or a similar field.
