Job Overview

Sales Office Assistant, Global Distribution Center, Charleroi, PA

Komatsu is a global leader in the Mining and Heavy Equipment industry. We have a position available immediately as a Sales Office Assistant.  This is an on-site position, located off the Bentleyville exit of Route 70, in the new Alta Vista Business Park.

The Sales Office Assistant will assist the Office Manager with various administration tasks to include:

  • Warranty process
  • OE and Rebuild assistance
  • Reporting
  • Service Manager support
  • TSS Clerical Duties
  • Maintaining files and related systems and support

Key Job Responsibilities

Nonexempt - Grade 9

Manages Warranty Process

  • Notifies sales/service of new warranty claim
  • Follows up on SF cases
  • Follows up with Quality
  • Issues weekly report to sales/service
  • Closes SAP task
  • Works with accounting

OE and Rebuild Assistance

  • Enters specification in SAP
  • Enters change orders in SAP
  • Creates the SOW rebuild
  • After reviews, puts proposals together including T/C for issuance to customer
  • Create rebuild packages to develop the specs
  • Create & distribute margin sheets for approval
  • In-depth customer & product knowledge
    • LCM/CPT contract, and exchange contract, the type of equipment (Room and pillar vs. longwall) etc.
    • Understanding of the equipment & the componentry of the equipment
  • Pricing
    • Understanding whether it involves contracts, National agreement pricing, configurator pricing, etc.

Forecast

  • Assist OM in changes in SF & passing to SAP
  • Runs forecast as weekly or as needed for sales engineers
  • Creates/distributes/maintain conveyor forecast in SF

Service Manager Support

  • Arranges annual re-certification training for 18 EEs
  • Manages the field self-rescuer log for quarterly checks

TSS Clerical Duties

  • Coordinates the paperwork match (PO/TSS form)
  • Create SO for invoicing to accounting
  • Provided POD to mines when requested
  • Pacific Time Reporting system for SFH hours, payroll, reporting, etc.

Sales Meeting Info

  • Set up appointment
  • Provide info package to Sales
  • Provide/update book for RM/OM
  • Participates in Meeting

Consignment

  • Updates consignment spreadsheet
  • Reminder to field when inventory count is past due
  • Maintains records for auditing purposes
  • Works with CFS on inventory question/SAP updates
  • Prepares the quarterly counts, creating & maintaining the sap contracts, working with the salesman to ensure the legal contracts are in place, etc.

Customer National Agreements

  • Maintain files for RM/OM with current agreements

CRISP

  • Provide outstanding CRISP report monthly or as needed
  • Assist Service Manager in assigning CRISP projects in SF

Sales Force

  • Move machines in SAP to SF
  • Update customer info as requested

ARG Reporting

  • Prepares/distributes ARG report weekly to sales/service/staff
  • Prepares Alpha ARG report

Parts Catalogs

  • Receive/log/file shipments
  • Shipping as required

Machine Shipments

  • Closes files
  • Maintains shipped machine spreadsheet

Field call from Sales/Service

Office Duties

  • Ordering supplies as needed
  • Coordinating with accounting receiving/payment

Managing customer giveaways  

Qualifications/Requirements

The position requires an Associate's Degree in Business or equivalent work experience of three to five years of administrative experience in office setting.

Must be proficient at an intermediate level with Microsoft Suite

Demonstrated proficiency with SAP and Salesforce and Time & Attendance and Payroll systems
